Privacy statement

Intervest Real Estate Holdings (hereafter: “we” or “Intervest”) is committed to protecting and respecting your privacy. Our policy is to be transparent about why and how we process personal data. We collect and use your personal data as described in this privacy policy.

What personal data do we collect?

Our policy is to collect and process only personal data strictly necessary in the context of our professional services.

We may collect data from the following groups of data subjects:

  1. Website visitors
  2. Corporate clients
  3. Business contacts
  4. Suppliers
  5. Visitors to our buildings – Camera surveillance
  6. Applicants

For information on what data we collect from you, for which purposes, under which legal basis and for how long (retention), please jump to the relevant section:

1. Website visitors

1.1. Cookies

When you visit our website, a certain amount of data is collected for analytical purposes (necessary cookies). This data is necessary to improve your user experience.

In addition, only if you accept, further data may be collected via other cookies. Please consult our cookie statement for more information and to activate these settings if you wish.

1.2. Contact form

When you fill out our contact form on the website, we ask for data such as your first name, surname, e-mail address and company name. We collect this data based on your consent and only use this data to answer your question and/or request.

This data is kept as long as necessary to fulfill your request.

2. Corporate clients

2.1.Personal data

In general, we only collect professional data from employees and/or representatives of our corporate clients such as name, professional e-mail address, telephone number, position, name of department.

2.2.Purposes

We process your personal data for the following purposes:

  • managing our customer relationships (“Customer Relationship Management”)
  • developing our operations and services (such as identifying customer needs and service improvements)
  • activities as part of the general management of our premises i.e. maintenance and damages, access management, etc.
  • invoicing and accounting
  • maintenance and operation of IT systems
  • marketing and communication
  • organization of events
  • managing legal disputes

2.3.Legal bases

We process your personal data under the following legal bases:

  • as necessary for the performance of the agreement we have with you;
  • as necessary to comply with a legal obligation applicable to us;
  • as necessary to pursue our legitimate interests, to the extent that your fundamental rights and freedoms do not outweigh those interests (e.g., if we need your need data for internal administrative purposes, to ensure network and data security or to prevent fraud);
  • when you have consented to this, for example, when you have agreed to voluntarily participate in a satisfaction survey.

2.4.Retention

We will retain your personal data for as long as we provide services to you, unless:

  • We need your personal data in the context of an actual or potential dispute (for example, we need this data to bring or defend legal claims), in which case we will retain your personal data until the end of such dispute; and/or
  • We need to retain your personal data to comply with any legal or regulatory obligation (for example, for tax purposes), in which case we will retain your personal data for as long as required by that obligation.

3. Business contacts

3.1.Personal data

Intervest processes personal data about contacts (existing and potential clients and/or individuals associated with them) using a Customer Relationship Management system (CRM) including a marketing automation tool.

The collection of personal data about contacts and the addition of that contact to the CRM can be initiated by an Intervest employee and will include name, employer name, contact title, phone, e-mail and other business contact details. When the collection is initiated by the data subject, we collect relevant business contact details and marketing subscriptions.

3.2.Processing purposes

We process your personal data for the following purposes:

  • Managing our relationships
  • Developing our businesses and services
  • Administering and managing IT systems, websites and applications
  • Hosting or facilitating events
  • Sending marketing communications in line with your preferences
  • Pictures/video footage of data subjects attending events

3.3.Legal bases

We process your personal data under the following legal bases:

  • to pursue our legitimate interest to administer, manage and develop our business and services, to the extent that your fundamental rights and freedoms do not outweigh those interests
  • when you have consented to this, for example, when you subscribe to our newsletter

3.4.Retention

Personal data will be retained in the CRM of Intervest for as long as we have, or need to keep a record of, a relationship with a business contact, which is for the duration of our relationship with a contact or their organization.

Personal data may be held for longer periods where extended retention periods are required by law or regulation and in order to establish, exercise or defend our legal rights.

In the absence of specific legal, regulatory or contractual requirements, our baseline retention period of obsolete records in our CRM is 2 years.

4. Suppliers

4.1.Personal data

In general, we only collect professional data from employees and/or representatives of our corporate suppliers such as name, professional e-mail address, telephone number, position, name of department.

4.2.Processing purposes

We process your personal data for the following purposes:

  • Managing our supplier relationships
  • Processing orders
  • Accounting and bookkeeping
  • Managing (legal) disputes.

4.3.Legal bases

We process your personal data under the following legal bases:

  • as necessary for the performance of the agreement we have with you;
  • as necessary to comply with a legal obligation applicable to us;
  • as necessary to pursue our legitimate interests, to the extent that your fundamental rights and freedoms do not outweigh those interests (e.g., if we need your data for internal administrative purposes, to ensure network and data security or to prevent fraud);
  • when you have consented to this, for example, when you have agreed to voluntarily participate in a satisfaction survey.

4.4.Retention

We will retain your personal data for as long as you provide services to us, unless:

5. Visitors to our buildings – Camera surveillance

Intervest has installed surveillance cameras in its buildings for the purpose of ensuring security and safety of its customers, visitors and employees, preventing crimes and detecting unauthorized access or threats to the safety of the building.

The cameras are aimed to give a general overview of what’s happening in certain places, but the purpose is not to recognize people unless a security or data protection incident is involved.

The cameras are installed at the building entrances, at the parking entrance and parking lots and inside the buildings and are placed and focused in a way that only people who enter the building or car parks are filmed. No audio (sound or voices) is recorded.

The processing of personal data via camera surveillance takes place in accordance with the Belgian Camera Act of March 21, 2007 regulating installing and using surveillance cameras and all other applicable privacy and data protection legislation.

The legal basis for processing is the legitimate interest of Intervest to ensure the safety of its buildings and people. The use of cameras is clearly indicated by the legally required pictograms with the contact information from Intervest.

Camera images are kept for a maximum of 1 month, except if the images must be used as evidence in the context of an investigation or for the establishment, exercise or substantiation of a legal claim.

Access to the images is limited to authorized persons at Intervest and password protected. Images can only be transferred via the police.

6. Applicants

6.1.Personal data

We only process personal data relevant to the recruitment and selection procedure.

This concerns the data and documents provided by the applicant himself, such as the CV containing, among other things, contact details (name, telephone number, e-mail address) and place of residence of the applicant, as well as any added photograph.

Also relevant may be the applicant’s education, courses taken, internships and work history.

If required for the position, applicants may be subject to a psychological test or an assessment. In this case, those entrusted with executing the tests will be provided with the personal data necessary for the purpose of the assessment and Intervest will obtain the results of the assessment.

6.2. Processing purposes

We need your data for:

  • recruitment and selection purposes i.e. to assess your suitability for the position for which you are applying
  • To communicate with you
  • (if justified by the nature of the position) a screening or assessment.

6.3. Legal bases

Your data are collected and processed on the following legal grounds:

  • to pursue our legitimate interests, insofar as your fundamental rights and freedoms do not outweigh those interests
  • your consent for purposes such as requesting references and other background checks
  • for the execution of the employment contract (for the final candidate hired)

6.4. Retention

The data we hold about you will be kept in a manner consistent with applicable data protection laws. Under no circumstances will your data be kept longer than necessary to achieve the stated purposes.

In particular, we will keep your data regarding your application for up to 6 months after your application.

Data transfers

We will only share personal data with others when we are legally permitted to do so. When we share data with others, we put contractual arrangements and security mechanisms in place to protect the data and to comply with our data protection, confidentiality and security standards.

We use third parties located in other countries to help us run our business. As a result, personal data may be transferred outside the countries where we are located. This includes to countries outside the European Union (“EU”). We have taken steps to ensure all personal data is provided with adequate protection and that all transfers of personal data outside the EU are done lawfully.

Your rights

You have certain rights regarding the information we hold about you. These rights can be exercised by contacting us as set out below:

  • you have the right to access the information we keep about you – this is because we want you to be aware of the information we have about you and to enable you to verify whether we process your information in accordance with the applicable data protection laws and regulations;
  • you have the right, under certain circumstances, to block or suppress further use of your information. When the processing is restricted, we can still store your information, but we can no longer use it;
  • if your information is inaccurate or incomplete, you have the right to request the rectification of your information;
  • you have the right, under certain circumstances, to request the deletion or removal of your information from our systems;
  • you have the right to lodge a complaint about the way we handle or process your information with your national data protection authority;
  • if our processing of your personal information is based specifically on your consent, you have the right to withdraw that consent at any time. This includes your right to withdraw consent to our use of your information for direct marketing purposes;
  • you have the right to obtain from us, under certain circumstances, your information in a structured, commonly used and machine readable form so you can reuse it for your own purposes across different services. For example: if you want to work with a different service provider, this enables you to move your information easily and in a secure manner to this new service provider.

You also have the right to object to certain types of processing, including processing for direct marketing purposes.

However, note that we may need to retain certain information, for example for legal or administrative purposes (e.g. keeping of accounting records).

For all requests set out above, please send us an email with “data privacy request” in the subject line. We will respond to your request as soon as practically possible. If we need more than one month (from receipt of your request) to respond to your request, we will come back to you and let you know.

Security

We take the security of all the data we hold very seriously. We have a framework of policies, procedures and training in place covering professional secrecy, data protection, confidentiality and security and regularly review the appropriateness of the measures we have in place to keep the data we hold secure.

Changes to our Privacy Policy

We may amend this Privacy Policy from time to time. Any changes we make to our Privacy Policy in the future will be posted on this page. The privacy statement was last update in May 2025.
